At the November meeting last week the written report included;

Better Care

• Accreditation – Our Survey tool place November 2 – 6 2015. We had some very good learnings regarding the planning and preparation stages which have been documented for the next survey. The draft report has been reviewed by the Executive Leadership Team and a teleconference with Accreditation Canada was held on Thursday, Nov. 12, 2015 to review the report and provide feedback. Unmet criteria and required organizational practices will be collated into a standard and common action plan template for further follow-up and correction. We are awaiting the accreditation decision and final report that said, the results given at the debriefing were outstanding and I am very proud of our region. We have demonstrated that we have raised the bar in quality of safety through our lean and accreditation work.

Better Teams

• Influenza Immunization Campaign – as of Nov. 6, 28.44 per cent of Sunrise Health Region Staff have been immunized.

• An Advisory Committee for Kamsack Family Resource Centre (FRC) has been developed and met for the first time on Nov. 2. Terms of reference for the group have been drafted and goals/outcomes developed for the short term. These include: 1) Engagement and active participation with First Nation Maternal Child Health programs; 2) Engage families prenatally and with young children in FRC programming; 3) Develop Early Childhood Developmental programming that offers services and supports that would increase parent knowledge and influence health/social outcomes.

Better Value

• The entire front curb of YRHC was painted red along with a red mark on the pavement to accommodate the “No Parking Fire Lane”. This was done to comply with fire regulations set out by the Fire Commissioner in which no vehicles can be parked and unattended in the hash marked red zone. Thirteen public parking spots that existed in front of YRHC have been moved to the south side of the shrubs.

• Decommissioning of Laundry continues whereby Logan Stevens removed a portion of the north wall and with the assistance of a crane the old washers, dryers, and ironer were removed. Covers were made and installed over the existing holes in the roof from the dryer vents, in which insulation and plastic will be installed in the interior roof line to provide a moisture barrier from the outside elements. Fire alarms and sprinkler lines from the dryers were disassembled. Trench from the washer drains are being filled with cement.

• Melville WinCIS Go-Live was on October 27, 2015. WinCIS registration component includes all registration processes but also included to move to registering lab and x-ray patients for each visit which had never been done here before. The Transcription Module was implemented to replace their Electronic Document Module. Process was set up in WinCIS to pre-register day surgery and scheduled clinic appointments; by doing this reports can be run to assist surgeons and staff on upcoming procedures. This process replaced their previous scheduling system that was in place. This implementation has also resulted in a review and change to other work flow and processes not necessarily related to the actual WinCIS implementation. WinCIS Transcription Module was implemented in Kamsack.

• Regional Projects include: New Roam Alert System was installed and tested at Lakeside Manor Care Home. Esterhazy Centennial Special Care Home dietary Phase I and Phase II renovation complete. Phase III to commence in the near future. Ituna Pioneer Health Care Complex roof project is 95 per cent complete with the entire roof surface sealed. Rooms 210 and 212 were repaired and put back in service. Remaining six rooms are occupied with minimal damage and will be scheduled for completion during the first week of November. Ceiling Lift Installation Plan currently lists 22 lifts scheduled for replacement in the region. The Regional Health Centre Trayline is set for Nov. 15 – 18.

Lean Activities

• Circlebrooke Move – Staff Relations Team successfully moved to Sunrise Public Health Building effective Oct. 27 and 28. They are extremely grateful for their new office space which includes a meeting room.

• Dr. Erhaze, psychiatrist, will begin Dec. 1, 2015.

• Our nurse navigator Bev Whitehawk is a great addition to our team and is already building necessary relationships.

• The hiring of a new psychologist will be a huge addition to our services, especially for diagnosing youth between the ages of six to 18. This had been a significant gap in our services.

Risks for Consideration & Action

• Kamsack Staffing Situation – Registered Nurses (RNs) – one permanent full-time Nurse resigned her rotation and went casual and another gave her retirement notice (formal) in October. In total, the facility has hired four new RN’s this year and lost four. Staff are expressing exhaustion and the threats to quit or retire seem to be followed through upon. Bed closure and service interruption due to RN staffing may be imminent. We are working very hard to recruit but having little success with many classifications of front line workers (care aides and support staff included) and the assistant manager position. This is resulting in denied extended leaves, staffing shortages and general staff dissatisfaction.

• St. Anthony’s Hospital is anticipating a shortage of RN’s, as two will be moving to Primary Health Care and two will be going on maternity leave. Positions will be posted – may have to look at contract nurses. Also short of diagnostic staff.

• Canora Hospital Nurses Station is needing to be repaired/replaced. Canora Health Foundation have agreed to fundraise for this, but they need to complete their commitment to the Collaborative Emergency Centre first.

• Foam Lake community has formed a committee to raise funds for a DR x-ray system. It comes at a cost of approximately $200,000 with about $25,000 operational costs yearly. The committee is requesting a meeting to discuss the future of their imaging department and if Sunrise will support this fundraising purchase.

• Remedial shoring up of length of sagging roof span completed in October. St. Paul’s Lutheran Home kitchen roof, exterior soffit and fascia sagging badly. A three foot width of 80 feet roof line along the kitchen area is sagging approximately six inches for most of the 80 feet expanse. This was shored up for this winter but needs to be addressed as part of a roof replacement. St. Paul’s Lutheran home old tar and ballast roof needs to be added to the five year capital management budget as it is end of life. Estimated cost of at least $750,000 when fully replaced.

General

• Initial CT planning meeting was held with the Vendor (GE) to gather install requirements and specifications for our YRHC site. There is an anticipated three week down time for the install. CT will have to be on bypass during the install period. We are currently aiming for a January/February 2016 install.

• Canora – Dr. Hamed Afshari started in Canora the week of October 13, 2015. Dr. Sirous Jafarian is doing his 12 week SIPPA Clinical Field Assessment with an anticipated start in January 2016.

• Esterhazy – Dr. Rohani in the SIPPA Clinical Assessment and anticipated to start in January 2016.

• Preeceville – Dr. Shahrestani to replace Dr. Kabongo. He is currently doing the SIPPA Clinical Field Assessment with an anticipated January 2016 start.

• Client and Family Centered Care (CFCC) – The CFCC Working Group met on Oct. 19 to review the internal and external Sunrise websites to ensure the websites are easy to navigate and contain easy to understand information for clients/families. The CFCC videos were launched during the October 26 – 30 Patient Safety Week using a come-and-go for all staff.
